Terms & Conditions

CONFIRMATION/INCLUSIONS & PAYMENTS

A booking is confirmed by signing the terms & conditions form and payment is made of the requested deposit invoice within seven (7) days of receiving the signed terms and conditions form and invoice.

If the terms and conditions form and requested deposit are not received within this time frame, management reserves the right to cancel the booking and allocate this date and space to another function.

A deposit will be calculated on the space and pending function information. Deposits can be paid via direct deposit. All room hire cost include the set up and pack down of only equipment owned & provided by the Beach House Hotel, linen and staffing.

All functions are subject to time restrictions of a maximum 6 hours, 1 hour following conclusion time given or 12am for evening events on Friday and Saturday nights and 10pm Sunday - Monday.

PAYMENTS

Final guest numbers and menus, beverage details, and room setup details are required a minimum of 14 days prior to the function at this time 60% of the function total is payable. The remaining amount will be payable 5 business days prior to the event date.

Please note, you will be charged for the confirmed numbers 14 days prior of actual attendance, whichever is greater.

Deposit payments are non-refundable in the event of a cancelation.

18TH BIRTHDAY PARTIES

The Beach House Hotel do not allow 18th birthday parties to take place in our functions space. If you are looking for a venue for an 18th Birthday Party we urge you to seek elsewhere.

SECURITY

Certain parties incur a charge to cover extra security requirements. In addition, management reserves the right to request an additional bond of $500, should extra cleaning be required or damages occur. Notification of a cancellation of a function must be in writing to receive any refund of monies already paid. If you do choose to cancel your function, the following conditions will apply (Excluding deposit payments) – Sixty (60) days or more, monies refunded in full. Between sixty (60) and thirty (30) days, 50% of monies are forfeited. Thirty (30) days or less, 100% of monies forfeited.

DECORATING & THEMING

If you wish to provide your own decorations, you are welcome to do so by speaking with our Function Manager to arrange a time. Table scatters, glitters, confetti, candles and streamers are not to be used at all or you will be made responsible for any cleaning. Smoke cannons are prohibited in our venue also.

The client is liable for any damages or additional cleaning to the Beach House Hotel that may occur during the function or setup / pack-down period.

The Beach House Hotel will not be held responsible for any lost or damaged items or equipment left at the Beach House Hotel prior to, during or after the event occurs. Theme nights and dress-up parties are to be approved by the Function Manager and use of wall display materials and nails, staples or tape attachments to floors or ceilings is not permitted.

DRESS CODE

A strict dress code applies throughout our venue. Failure to comply with these dress codes may result in eviction from certain areas of the venue. Read our dress code here.

UNDERAGE PEOPLE/MINORS

Children are not permitted in our 18+ designated outdoor smoking section or to be served from our bar at all and will only be allowed upstairs after 10pm for a private function only. All children must stay upstairs after 10 pm with parental supervision and then be accompanied straight out of the building at the conclusion of the event. Children's meal prices are for children aged between 3-13yrs only. Shoes must be worn by all patrons including minors at all times.

ENTERTAINMENT AND EQUIPMENT

All entertainment requested is at the cost of the client. Management does not accept responsibility for damage or loss of property left on the premises prior to, during or after the function.

Please advise our Functions Manager of any deliveries being made for your function and safe storage will be arranged.

DAMAGES/RSA/SMOKING

Any damage caused to the Beach House Hotels property or fittings during a function is the financial responsibility of the client. The Beach House Hotel has a responsibility to provide responsible service of alcohol and at any time can refuse to serve any intoxicated patrons, if the patron does not agree they can be asked to leave the building and will be escorted by security.

The Beach House Hotel is committed to providing a safe and enjoyable environment. The Beach House Hotel takes the responsible service of alcohol seriously, while providing courteous and friendly customer service. We do not allow shots or rapid drinking at any time in the building. There is to be absolutely no smoking on the front balcony of our function rooms, please ask the staff where our designated smoking area and Emergency exits are located. If we find any patron supplying alcohol to a minor both parties will be escorted from our venue.

PRICING AND ADDITIONAL CHARGES

All prices are inclusive of GST and are valid currently, we make every possible effort to maintain prices, these are subject to change at Management’s discretion to allow for market cost variations and the introduction of new statutory taxes. Any setups required to be done a full day prior to any event including weddings and Gala dinners will occur an additional room hire fee. The Beach House Hotel reserves the right to book other functions in the same room if required up until 1 hour prior to the scheduled function is to commence. Functions over 50 people that are consuming alcohol may incur extra charges for security to be stationed upstairs for a min of 4 hours.

MENU

Menus are subject to changes and any external food and beverage under no circumstance are to be bought into our licensed venue this includes coffee from other vendors prior to our opening hours for training meetings and conferences. Failure to provide us with dietary requirements will result in delays when food is being served to those guests and will be at no fault of the Beach House Hotel for not being notified of these requests or last-minute changes.

TENTATIVE BOOKINGS

Tentative bookings can be held for a maximum period of 5 days. Once this time has elapsed we will endeavor to contact you but if unsuccessful we are under no obligation to hold the booking.

BOOKINGS AND DEPOSITS

All bookings are considered tentative until the room/ area hire payment and a booking agreement has been received. Final numbers and payment is required 7 days prior to the event. Any additional expenses incurred on the night are payable at the conclusion of your function unless organised with senior management prior.

CONFIRMATION OF FUNCTION SPECIFICS

Provisional numbers for the function are required at the time of signing the booking agreement. All food and beverage arrangements, entertainment, audio visual requirements, room set up and theming must be confirmed 7 days prior to the function. The confirmed minimum number of guests attending the function is required 7 working days prior to the function date and will be regarded as the minimum number to be charged.

CANCELLATIONS

In the event that the function is cancelled 1 – 14 days prior to the date of the function, the client forfeits the room/area hire already paid. We reserve the right to cancel your function at any time, in which case your deposit will be refunded to you.

All prices in the functions information package are current at the time of printing. We reserve the right to update prices where necessary to reflect any changes. All prices are inclusive of GST.

STAFFING AND SECURITY

All venue hire charges include dedicated function staff for the duration of your event. Any additional equipment, decorations or furniture set up not included in standard inclusions may include an additional fee. Should the Beach House Hotel deem it necessary for a specific event, additional contracted security guards may be required at the client’s expense. Security must be hired for a minimum of four (4) hours at $100 per hour per guard. Number of guards required will depend on the number of people attending your event.

RESPONSIBILITY

The Beach House Hotel does not take responsibility for damage or loss of any patron’s property left on the premises prior to, during or after the conclusion of the function. The client will be responsible for any damage caused to us or the Beach House Hotel by guests or contractors. Costs will be charged to the nominated credit card. The cost of general cleaning is included in the venue hire charge. The hirer will be responsible for any additional cleaning deemed necessary. MasterCard or cash.

PARKING

We are not responsible for any loss or damage sustained as a result of cars being parked on the Beach House Hotel.

SMOKING

Designated Smoking Areas (DOSAs) are provided throughout the Beach House Hotel.

PROHIBITIONS

Decorations/signage: No adhesives or fastening may be attached to the walls or furniture without prior approval of the Beach House Hotel Management. Any goods, properties or materials brought in by, or on behalf of the hirer, are the responsibility of the hirer and must be removed from the premises by the hirer at the conclusion of your event. No outside food or drink is permitted unless authorised by Beach House Hotel management.

CAKEAGE

You will be charged a fee to cut and serve any cake that requires cutting and plates.

Please also note the use of wax candles, glitter and confetti is band from being used in our venue.

AUDIO VISUAL

All AV requirements must be confirmed and tested at least 48 hours prior to your function at a mutually agreed time. We cannot be responsible for organising AV on the day of your function. We reserve the right to monitor sound levels at your function and enforce alterations to sound levels to ensure the event complies with the licensing and noise restrictions of the building and does not adversely affect other activities within the building

FLOOR PLAN

A floor plan for an event must be agreed upon and signed off on by Beach House Hotel staff 7 days prior to the event. Any changes to the floor plan requiring Beach House Hotel to change set up of the room will incur a $500 fee. Under no circumstances are function organisers or their helpers to move Beach House Hotel furniture, stage of dancefloor themselves.
